Terms & Conditions

1. Reservations

A reservation is confirmed once the booking has been accepted and any payment required at the time of booking has been successfully processed.

The person making the reservation is responsible for the reservation and for ensuring that all members of their party comply with these Terms & Conditions and the applicable House Rules.

Reservations may not be transferred to another person without prior approval from Kelowna Cabin Rentals.

2. Payments

Payments for direct reservations are securely processed through our payment processing provider.

By providing a payment method, the Guest authorizes charges for the reservation total, applicable taxes and fees, and any other charges expressly authorized by the Guest or properly payable under these Terms & Conditions.

Payments will be processed according to the payment schedule shown at the time of booking.

The Guest is responsible for maintaining a valid payment method for any scheduled payments. Failure to complete a required payment may result in cancellation of the reservation.

3. Rates, Fees & Taxes

Rates, applicable taxes and any required fees will be clearly displayed during the booking process before payment is submitted.

All prices are shown in the currency indicated at checkout.

4. Cancellation & Refund Policy

Our cancellation policy for direct bookings is:

• 14 days or more before check-in: 100% refund.
• 7 to 13 days before check-in: 75% refund.
• Less than 7 days before check-in: No refund.

Cancellation eligibility is determined based on when the cancellation request is received.

To cancel a direct reservation, guests may contact Kelowna Cabin Rentals at reservations@kelownacabinrentals.com and include the name and reservation details associated with the booking.

Eligible refunds will be returned to the original payment method. We will initiate approved refunds promptly; the time required for the funds to appear in the Guest’s account may vary depending on the payment processor and financial institution.

Guests are encouraged to purchase travel insurance to protect against illness, transportation interruptions, weather and other unexpected circumstances that may affect their trip.

5. Check-In & Check-Out

Check-in is from 4:00 PM on the scheduled arrival date.

Check-out is by 10:00 AM on the scheduled departure date.

Early check-in and late check-out are permitted only when approved in advance.

Guests who remain at the property beyond the agreed check-out time without authorization may be responsible for reasonable additional costs incurred as a result.

6. Occupancy, Visitors & Unauthorized Guests

Each cabin accommodates a maximum of 12 guests.

Only guests registered and authorized as part of the reservation are permitted on the property. No unauthorized guests or visitors are permitted at any time without prior approval from Kelowna Cabin Rentals.

The number of people staying at or using the property must not exceed the maximum permitted occupancy or the number of guests authorized under the reservation.

Parties, events and large gatherings are not permitted unless expressly authorized in writing in advance.

The person making the reservation is responsible for ensuring that all members of their party comply with these Terms & Conditions and the applicable House Rules.

Serious or repeated violations of the occupancy or unauthorized guest policy may result in termination of the stay without refund.

7. Noise & Neighbours

Our cabins are located in a peaceful lakeside community. We ask guests to be considerate of neighbouring properties and other guests at all times.

Outdoor noise must be kept at a reasonable level, and guests must comply with applicable quiet-hour requirements and local noise regulations.

Outdoor noise monitoring equipment may be used at the property. The equipment measures sound levels in decibels and does not record conversations or audio.

If a Guest is notified that outdoor noise is excessive, the noise level must be reduced promptly.

Serious or repeated noise violations may result in termination of the stay without refund.

8. Smoking & Vaping

Smoking and vaping are not permitted inside any cabin.

Guests may be responsible for additional cleaning, deodorizing or remediation costs resulting from smoking or vaping inside the property.

9. Pets

Pets are permitted only when approved as part of the reservation.

Any applicable pet fee will be disclosed in connection with the reservation.

Guests are responsible for their pets and for any damage or excessive cleaning resulting from them.

10. Property Care, Damage & Additional Charges

Guests are expected to treat the cabin, furnishings, equipment and surrounding property with reasonable care.

Any significant damage or maintenance issue should be reported as soon as reasonably possible.

Guests may be responsible for the reasonable cost of repairing or replacing property damaged or lost because of the actions or negligence of the Guest or members of their party, excluding normal wear and tear.

Where permitted, the Guest authorizes Kelowna Cabin Rentals to charge the payment method associated with the reservation for properly documented amounts owed under these Terms & Conditions.

11. Hot Tubs

Each cabin includes a private hot tub for guest enjoyment.

Hot tubs are used at the Guest’s own risk. Children must be appropriately supervised at all times.

Guests must follow posted instructions and must not tamper with hot tub equipment or controls beyond normal guest operation.

Glass containers are not permitted in or immediately around the hot tub.

12. Lake & Complimentary Watercraft

McCulloch Lake is a natural environment. Swimming and other recreational activities on or around the lake involve inherent risks.

Some cabins include complimentary non-motorized watercraft. The type and quantity of watercraft varies by cabin.

Guests using any provided watercraft are responsible for using it safely, appropriately and in accordance with applicable laws and safety requirements.

Personal flotation devices should be used as appropriate and as required by law. Children must be appropriately supervised around the lake, shoreline and watercraft.

Use of the lake and complimentary recreational equipment is at the Guest’s own risk.

Motorized watercraft used on McCulloch Lake are subject to a maximum 9.9 horsepower restriction.

13. Natural & Rural Environment

The cabins are located in a rural, forested mountain and lake environment.

Guests may encounter wildlife, insects, uneven terrain, changing weather, snow, ice, smoke, falling branches or natural debris and other conditions associated with a rural property.

Guests are responsible for exercising reasonable caution and appropriately supervising children.

14. Water

The cabins are supplied by a lake-source water system.

Guests are advised to bring their preferred drinking water for their stay.

15. Internet, Utilities & Amenities

Starlink Wi-Fi is provided for guest convenience.

Because the cabins are located in a rural area, uninterrupted internet, cellular service, electricity, water service or other utilities cannot be guaranteed.

Occasionally an appliance, hot tub, watercraft or other amenity may become unavailable because of mechanical failure, weather, maintenance requirements or circumstances outside our reasonable control.

When an issue is reported, we will make reasonable efforts to address it as promptly as practical.

Temporary interruptions or unexpected amenity failures do not automatically entitle the Guest to a refund.

16. Fire Safety

Guests must comply with all applicable fire restrictions and fire bans in effect during their stay.

Any permitted fire, BBQ, propane appliance or outdoor heating appliance must be used responsibly and in accordance with applicable restrictions and property instructions.

Fire or heating appliances must never be left unattended while in use.

17. Access to the Property

Kelowna Cabin Rentals, the individual property owner or an authorized service provider may access the property when reasonably necessary to respond to an emergency, safety concern, urgent maintenance issue or other matter requiring prompt attention.

Except in an emergency, reasonable efforts will be made to notify the Guest beforehand.

18. Personal Property & Guest Safety

Guests are responsible for their personal belongings and for taking reasonable precautions for their own safety and that of members of their party.

To the extent permitted by applicable law, Kelowna Cabin Rentals and the individual property owners are not responsible for loss, theft, injury or damage arising from circumstances outside their reasonable control.

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited.

19. Violation of These Terms

Serious or repeated violations of these Terms & Conditions or the property’s House Rules may result in termination of the stay.

Depending on the circumstances and applicable cancellation terms, a Guest whose stay is terminated for a serious violation may not be entitled to a refund.

Guests remain responsible for damage and other amounts properly owing under these Terms & Conditions.

20. Privacy

Personal information provided in connection with a reservation may be used to process and administer the booking, process payments, communicate with guests, operate the properties, prevent fraud and comply with applicable legal and business requirements.

21. Changes to These Terms

Kelowna Cabin Rentals may update these Terms & Conditions from time to time.

The Terms & Conditions applicable to a reservation are those in effect when the reservation is made, unless a subsequent change is required by law or is otherwise agreed to by the Guest.

22. Governing Law

These Terms & Conditions and direct reservations with Kelowna Cabin Rentals are governed by the laws of the Province of British Columbia and the applicable laws of Canada.

23. Agreement

By completing a direct reservation, the Guest confirms that they have reviewed and agree to these Terms & Conditions, the cancellation policy and the applicable House Rules.
